Program Terms and Conditions
1.1 Enrolment Policy
- Enrolments into our Learn to Swim Program are taken from our waiting list, See the learn-to-swim waiting list application
- Enrolments into our Learn to Dive Program are taken over the phone or by email or in person.
- Enrolments into Squad are taken over the phone or by email or in person
- By completing and enrolment and or re-enrolment, terms and conditions, code of conduct, and supervision policy are agreed too
- To confirm an enrolment, upfront accounts must be paid in full or direct debit accounts must be set up ready for the first debit cycle.
1.2 Payment/Refund Policy
- Payment options include direct debit or upfront term payment
- Direct debit payments are made weekly from a nominated bank account (BSB & account number) or credit card (Mastercard or Visa only – no American Express).
- Upfront payments can be made online, in person or over the phone
- All payment enquiries are to be sent through to LTSadmin@tgc.vic.edu.au
- Missed lessons are credited where a medical certificate is presented (maximum 2 credits per term)
- Refunds are not available once the term 1 commences
1.3a Failure to Pay – Direct Debit
- Account holders will be notified if an unsuccessful payment occurs, If 3 payments (3 weeks) in a row are unsuccessful that account will be suspended and enrolment cancelled.
- Students wanting to return to lessons will need to re-apply via the waiting list
- All arears are required to be paid in full prior to completing a new enrolment
1.3b Failure to Pay – Upfront
- Accounts are to be paid in full to enrol/re-enrol into a class.
- Failure to re-enrol with in the set timeframe will result in re-applying for lessons via the waiting list
1.4 Cancellation Policy
- A cancellation email will need to be sent to LTSadmin@tgc.vic.edu.au.
- Direct debit accounts will be disabled with in 1 working day of being notified of the cancelation.
- Program cancellations will result in returning to the waiting list for future enrolments
1.5 Teacher Policy
- Although every effort is made to ensure a high consistency of teachers/coaches, circumstances beyond TGC Recreation Centre’s control sometimes prevent this. E.g., staff illness, change in university timetable, etc. We will make every effort to inform you of any changes.
- All teachers/coaches at TGC Recreation Centre hold current qualifications recognised by the peak industry body.
- Trainee teachers work alongside qualified staff as they learn the ropes of swim teaching and complete mandatory hours to obtain their qualifications. 1.6 General
- TGC Recreation Centre reserves the right to cancel, change classes, move students and/or change teachers at any time.
1.7 Supervision of children during aquatic programs
- The group instructor will take the primary supervision role of children in their care during their lesson / group
- Students who participate in Learn to Swim(all ages) and Diving students under the age of 12 require the attendance of a parent or guardian for supervision purposes.
- Students who participate in Squad(all ages) or Diving (12yo+) do not require parental supervision when attending a scheduled squad or diving session
- Students and families are to remain seated on the grandstand when lessons are underway
1.8. Access and Entitlement
- Program members are entitled use of the pool during their designated lesson times for the purpose of lessons
- Program members are required to attend the centre directly from Gate 5 on Aphrasia street and directly exit via the same point
- On school grounds designated footpaths are to be used and signage followed
- Program members are unable to access the Recreation Centre outside of their lesson times
Any participant breaching the Terms and conditions, Supervision policy or The Geelong College Recreation Centre Code of Conduct will be asked to leave these sessions or classes.
Membership Terms and Conditions (Lap Swimming)
2.1 Facility Access
- Program members are required to attend the centre directly from Gate 5 on Aphrasia street and directly exit via the same point
- On school grounds designated footpaths are to be used and signage followed
- Membership passes must be presented to reception or scanned at the appropriate access gate prior to entry into the Centre.
- Entry will not be permitted without an active member pass.
- Lost cards must be reported to reception for replacement. A fee will be charged for replacement cards.
- Members have access to the facility during advertised member hours.
- Operating times are advertised and regularly updated on our website
- The Geelong College has priority use of the facility which may result in altering member times and cancelation of member sessions
- Membership fees are reviewed annually and where necessary updated on our website
- The facility reserves the right to alter rules and regulations at its sole discretion.
2.2 Weak/Non-Swimmer Policy
- Tell a TGRC staff member if you are a Non-Swimmer on arrival
- If your child is a weak swimmer, ensure your are supervising appropriately and close enough to support your child if required
- Swim within safe depths according to your ability
- Be aware of drop off zones and pool depth
2.3 Visit Pass Memberships
- This is the only membership available to new members
- Visit passes can be topped up online or in person
- Visit passes are non-transferable and non-refundable.
2.4 Fixed term Memberships
- Fixed term memberships are no longer available but are honored for members who still have an active fixed term membership
- Renewal of these memberships will be honored
- Fixed term membership renewals must be completed in person
- Suspension period of fixed term memberships are as: 12months = 4weeks, 6months = 2 weeks
- Suspension must be completed in person at reception
2.5 Squad Memberships
- Squad memberships are only available to select user groups (MSC and MEDA)
- New squad membership and renewals must be completed in person
- Suspension period of fixed term memberships are as: 12months = 4weeks, 6months = 2 weeks
- Suspension must be completed in person at reception
2.6 Limited Liability
- Members are solely responsible for their decision to participate in any aquatic exercise and the level of intensity of
- The facility, its agents and employees will not be held responsible for any loss, damage or theft of property belonging to the member whilst in the Centre.
- The facility will not be held responsible for any personal injury, illness or death resulting from the use of the facility and / or equipment provided in the Centre.
2.7 Termination of Membership
- Management reserves the right to terminate any membership if the conduct of the member is detrimental to the centre, disruptive, harassing, threatening, abusive or intimidating to other users or to facility staff.
- The member has breached the membership terms and condition, code of conduct and supervision policy
- Termination of the visit pass will be at the discretion of management.
- A member whose visit pass has been terminated will forfeit any remaining visits without claim for refund.
Supervision Policy
Children under 5 years old
- Children under 5 years old must be constantly supervised by a parent/guardian.
- Adequate supervision requires the parent/guardian to accompany the child in the water and remain within arm's reach of the child at all times.
Children under 12 years old
- Children under 12 years old will not be admitted without an appropriate parent/guardian. The parent/guardian must be 16 years or over and adhere to all conditions of entry.
- Children under 12 years old must be constantly supervised by a parent/guardian while in the aquatic area of the centre.
- The parent/guardian must position himself or herself to have a clear view of the child with no physical or structural barriers between them and the child
Children 12 years and older
- For children 12 years and older, parents must use their knowledge of the child's swimming ability to determine the level of supervision required.
- Parent /guardians are not required to be present in the centre. Please see supervision exemption 1.7 Supervision of children during aquatic programs
Code of Conduct
- Observe pool rule displayed on entry
- Observe pool staff and follow directions given
- Swim Caps must be worn always
- Only recognised swimwear made from lycra or nylon is to be worn in the water. Street wear and underwear are not recognised swimwear. Only recognised waterproof nappies are to be worn in the water for infants.
- All children must be supervised in line with our supervision policy and 2.2 weak/non-swimmer policy
- Diving is only permitted under instruction from a qualified instructor/coach with a minimum depth of 2 meters
- Mobile phone usage is not permitted in change rooms
- No Photography and Videography is acceptable unless an arrangement with centre management is made prior
- Patrons are not permitted to bring glass objects or alcohol into the Centre.
- The Geelong College Recreation Centre is a non-smoking venue.• Any patron/s under the influence of alcohol or drugs will not be permitted into the Centre.
- Abusive, disruptive, or offensive behaviour and language are not permitted
- Anyone attempting to gain entry without paying or without authorisation will be prosecuted
- Only The Geelong College Recreation Centre Staff are permitted to conduct learn to swim, private swimming lessons and squad coaching sessions (unless approved by TGCRC Management)
- The Geelong College Recreation centre accepts no responsibility for lost or stolen belongings. Patrons are advised not to bring phones, cameras or wallets to the Centre. Lockers are made available.
